1. Introduction
TMBTP Limited, trading as Otel AI, is the data controller for personal data collected through this website (otelai.com). We are registered in Ireland.
This policy explains what personal data we collect, why we collect it, how we use it, and what rights you have. It applies to all visitors to otelai.com and anyone who contacts us via our website forms.

2. What data we collect
We collect the following categories of personal data:
- Contact and enquiry data — name, email address, company name, and role, submitted via website forms.
- Aggregate analytics data (PostHog, before consent) — pages visited, referral source, device type, browser, and approximate country. Collected without cookies, without your IP address, and without any persistent identifier. We cannot link this data back to you as an individual.
- Identified analytics data (PostHog, after consent) — the same page and event data, plus a persistent visitor ID, IP-derived location (country and city level only), and session recording. Only collected once you accept analytics cookies via our cookie banner.
- Google Analytics 4 data (after consent) — page-level analytics collected only after you accept analytics cookies.
- Cookie data — analytics cookies placed by Google Analytics 4 and PostHog only after you give consent.
We do not collect payment information, sensitive personal data, or data from children. We do not use advertising or third-party tracking cookies.
3. How we collect it
We collect personal data in two ways:
- Directly from you — when you submit a waitlist, contact, or demo request form on the site.
- Automatically — when you visit the site, PostHog collects aggregate analytics in a cookieless, anonymous mode (no cookies, no IP address, no persistent identifier). If you accept analytics cookies via our cookie banner, PostHog is promoted to identified mode and Google Analytics 4 is also activated.
If you click Reject all on the cookie banner, all analytics processing stops immediately — including the cookieless aggregate measurement described above. No further data is collected from you and no cookies are set.
4. Why we collect it (lawful basis)
We collect and process personal data only when we have a lawful basis to do so under GDPR:
- Form submissions (name, email, company, role) — Legitimate interest: to respond to your enquiry and follow up on your request to learn more about Otel AI. You may also opt in to further communications.
- Cookieless aggregate analytics via PostHog (before consent) — Legitimate interest: we measure how the site is used at an aggregate level, with no cookies, no IP address, and no persistent identifier, so we can improve the site for all visitors. You can object to this processing at any time by clicking Reject all on our cookie banner — see Section 9.
- Identified analytics via PostHog (after consent) — Consent: we only activate PostHog's full mode (cookies, persistent visitor ID, IP-derived location, session recording) after you accept analytics cookies. We use it to understand user behaviour and improve our product and marketing.
- Analytics via Google Analytics 4 — Consent: we only activate GA4 after you accept analytics cookies. We use it to understand how visitors use the site, measure content performance, and improve the site.
5. Cookies
We use analytics cookies only. We do not use advertising cookies, social media tracking pixels, or third-party retargeting cookies.
Before you make a choice on our cookie banner, PostHog runs in a cookieless mode — no cookies are set and no data is stored in your browser. After you accept analytics cookies, both PostHog and Google Analytics 4 set cookies to identify returning visitors and track session behaviour.
You can accept or decline analytics cookies at any time using the cookie preferences panel at the bottom of this page. You can also manage or delete cookies directly in your browser settings. Refer to your browser's help documentation for instructions.
6. Data retention
We retain personal data only for as long as necessary:
- Form submissions (contact and waitlist data) — retained for 24 months from the date of submission.
- Google Analytics 4 data — retained for 26 months, which is Google's default retention period for GA4 properties.
- PostHog data — retained for 12 months.
You can request deletion of your data at any time by contacting us at hello@otelai.com. We will action deletion requests within 30 days.
7. Who we share data with
We share data only with the analytics providers listed below. We do not sell personal data to any third party. We do not share data with advertisers.
- Google LLC (Google Analytics 4) — analytics data may be processed in the United States. This transfer is protected by Standard Contractual Clauses (SCCs) under GDPR Article 46.
- PostHog Inc — we use PostHog's EU-hosted instance. Data is processed and stored within the European Economic Area (EEA) and is not transferred outside it.
8. International data transfers
Some of the personal data we collect is transferred to or processed in countries outside the European Economic Area (EEA):
- Google Analytics 4 — Google LLC is based in the United States. Data transferred to Google is governed by Standard Contractual Clauses (SCCs) under GDPR Article 46(2)(c), which provide appropriate safeguards for the transfer of personal data.
- PostHog — we use PostHog's EU cloud region. Data is stored and processed within the EEA. No transfer to third countries occurs.
9. Your rights under GDPR
Under the General Data Protection Regulation (GDPR), you have the following rights in relation to your personal data:
- Access — request a copy of the personal data we hold about you.
- Rectification — request correction of inaccurate or incomplete data.
- Erasure — request deletion of your personal data (the 'right to be forgotten').
- Restrict processing — request that we limit how we use your data.
- Data portability — receive your data in a structured, commonly used, machine-readable format.
- Object — object to processing based on our legitimate interests, including our cookieless aggregate analytics. You can exercise this right at any time by clicking Reject all on the cookie banner or by toggling Analytics off in the cookie preferences panel below — both stop all PostHog processing immediately.
- Withdraw consent — withdraw your cookie consent at any time using the cookie preferences panel below. Withdrawal does not affect the lawfulness of processing before withdrawal.

10. Supervisory authority
If you believe we have not handled your personal data in accordance with GDPR, you have the right to lodge a complaint with the supervisory authority in Ireland:

11. Changes to this policy
We may update this privacy policy from time to time to reflect changes in our data practices or legal obligations. The "Last updated" date at the top of this page will always show when the policy was most recently revised.
We will not reduce your rights under this policy without obtaining your consent where required. For significant changes, we will notify you via a notice on the website or by email if we hold your contact details.
